BEFORE PARENT MEETING
#1
TELL PARENTS TO BRING CHECKBOOKS TO MEETING!!
Make packets. How many? Number of boys + 20%. (i.e. 40 boys =48
copies, 50 boys =60 copies)
Packet #1: information about the camp.
- Get camp's information packet. Go over with SM which papers to
photocopy for parents (MBs offered, costs, times, map)
Packet #2: troop-business packet:
- Pre-reg. forms (asking for $25 deposits)
- Parent info sheets (asking for driver insurance, emails, etc,
update annually)
- T-shirt order forms (for camp T-shirt & for troop
T-shirt)
- Blank Class 1 health forms. Must be filled out every
year.
PARENT MEETING #1
Bring the following, in addition to the packets:
- General purpose worksheet for parents to sign-in (from
Troopmaster)
- Health forms: Binder with old forms, new Class 2s and 3s.
- General purpose worksheet with dates of health forms (class 1
& 2) written in columns.
- General purpose worksheet for recording pre-reg $25
deposits
- Stapler
- Scotch tape
Parent Helpers:

health forms)
- Deposit collector (needs treelot hours chart)
- Parent info collector
BEFORE PARENT MEETING
#2
Continue nagging people for health forms. You must have a new
class 1 every year. New class 2 every 3 years. Old people (over 40)
need a new class 3 every year.
Get Merit badge cards (# boys x 4) from Scout Office. Have someone
stamp them while sitting around at a meeting before camp.
Make copies: (# of boys + 20%):
- Merit badge classes offered
- class schedule
- Map
- Other camp info, refrigerator info
Make copies: (# patrols +3) These go into the "patrol binder" for
each patrol's ASM
- Patrol rosters (1 patrol/page)
- Merit badge matrix (advancement record)
- Phone lists
- POC lists
Prepare binders, one for each patrol (used by Patrol's Assistant
Scoutmaster
- zipper pouch (pens, pencils, black permanent marker, MB cards
(50+)
- Camp info packet
- Merit badge matrix (Advancement record)
- Patrol roster
- Updated Individual boy reports. For boys over 1st class,
"individual progress report." For boys below 1st class,
"Individual history report"
- Divider
- Full troop camp patrol roster. Divide patrols into A, B, C, D,
etc.
- Add ons: The Scoutmaster needs extras in his notebook: Full
troop roster with address & phone list to turn in at camp
- Notebook paper
Label the binders. Use previous year's for example.
BANK:
- Get check from SM for the money
- Call the bank to order $1 bills: $25/boy + camp cash. When
boys check in on camp day, they may add to their banks. Put only
$1 bills in their envelopes. Put larger bills in camp cash.
Assemble bank envelopes: 6" x 9" clasp envelopes
- Get printed mailing labels from troopmaster. Mark labels A, B,
C, D, etc. for patrols.
- Stick labels onto backs of envelopes.
- Write "Start $25" on each one if they've paid their $25
deposit
- Put money in envelopes
- Sort envelopes by patrol.
At check-in, boys may add money to the $25. This is recorded below
the "Start $25." A running total is kept.
At camp, the boy's ASM will hand out money, record the withdrawal;
boy will initial the withdrawal.

PARENT MEETING #2
Post sign-in sheet on table
One person collects remaining balances, enters info on pre-reg
sheet.
One person collects remaining health forms, negotiates late forms.
No health form = no camp.
Hand out any new information:
- Refrigertator info w/departure, return info, emergency phone

BEFORE GOING TO CAMP
Prepare papers:

Sun.a.m.)

Plan and buy evening snacks; biscuit dough for donuts must be kept
cold and used soon--or have a later arriving parent purchase &

Fill propane tanks as necessary--need 4
DEPARTURE MORNING
Bring card tables or TV trays from home, or get tables from
church. Bring 7 chairs.

- bank --needs envelopes w/ money, camp cash envelope, pen

- Buy Hats & scarves. Every boy MUST have . Needs perm.
